- Clearly & completely filled in and signed Common Schengen Application Form
- Valid passport
- As well as all the copies of your previous visas, valid for at least 3 months prior to your departure is required. Please ensure that the passport has 2 blank pages.
- One photo is to be attached;
- The photo must have a passport format, full-face capture, and a light background.
- The photo must be recently taken.
- The travel medical insurance policy is to be secured, covering any medical emergency with hospital care and travel back to one’s native country due to medical motives. Visa code Article 15.3 stipulates “The insurance shall be valid throughout the territory of the Member States and cover the entire period of the person’s intended stay or transit. The minimum cover shall be EUR 30 000. All Travel Insurance submitted is to consist of one page and will explicitly mention its compliance with the Schengen regulations. This new regulation will be imposed by all Schengen member states. All major insurance companies have been contacted and have drafted a one page Schengen Travel Insurance. In the event that your insurance company is not aware of this new regulation, please advise them to contact the Consulate/Embassy direct.
- Air tickets and Itinerary
- Round trip reservation and detailed itinerary including dates and flight numbers specifying the dates of entry and exit from the Schengen area.
- Proof of sufficient funds
- Proof of sufficient means of subsistence during the intended stay (original current account statements for the past 3 months, unless all the expenses are covered by the employer or the host, or in the case where the applicant is participating in a specific event)
- Accommodation
- Proof of accommodation for the whole duration of the intended stay.
- Confirmed hotel reservation on the Hotel’s letterhead, as well as proof of sufficient funds to pay for it, is compulsory.
- In the case accommodation costs are covered by another entity, this needs to be clearly stated in the invitation letter.
- If the applicant is staying with a relative or friend, an invitation letter mentioning this fact is requested. The format for this letter, as standard practice, should be as per Annex 15 of the Visa Code. In any case, the letter must clearly identify the host and the invitee (name, address, birthdate, official identification number, occupation, and permanent residence); the purpose of the visit; length of stay and accommodation status (where will the invitee stay and who pays for it).
- In case of a pre-paid tour, details of the tour with a proof of payment to the tour operator should be provided.
- Proof of employment:
- A letter from the company stating monthly wages, continuing employment after the period of leave and duration of holiday etc
- In the case of self-employment, a certification from SA Companies and Intellectual Property Commission or SA Revenue Service is required.
- In the case of students: Letter from school/college/university in South Africa certifying the student status of the applicant.
Business Visa (All above requirements including the following)
Attending specific events: such as conferences, workshops, short term studies, and research, official meetings, cultural and sports events, exhibitions, fairs, training, etc.
- Letter of Invitation
- An invitation from the host or a company in a Schengen state is needed.
- The invitation should include clear identification of both the entity issuing it and the invited applicant; nature, duration, and venue of the event; applicant’s role in the event and the link between the host and the invited applicant.
- For participation in conferences:
- Proof of registration and payment.
- For official visits,
- A note verbale from the Department of International Relations and Cooperation or any other relevant South African Ministerial Department is required.
- In case the expenses are covered by the host and/or by the employer this needs to be clearly established in the invitation letter or note verbale as appropriated.
For minors, additional documents are requested such as:
- The minor’s unabridged birth certificate
- Certified copies of ID/passport of both parents
- The application form signed by both parents
- If the child is traveling alone: certified parental consent by both parents
- If the child travels with only one parent, the other parent must produce certified consent. If only one parent has guardianship of the minor, the relevant court documents must be presented.
Important Note
- The Issuing Authority requires applicants to present themselves for biometrics ON SUBMISSION. Flash Visa Services will do a quality check of documents you provide, book the visa appointment and pre-pay the visa for lodgement. A Flash Visa Services representative will meet you and guide you through the visa process on the day of your appointment.
- Once Visa is ready will Flash Visa Services collect the Passport/Visa and deliver back to the Applicant.
- Please note that the application will be refused if the applicant does not fulfill the necessary requirements.
- Any incorrect statement will lead to the application being rejected or the annulment of a visa already being granted and may also render applicant liable to prosecution under the national law of the respective Schengen State
